How to use guest profiles to remember your regulars

Knowing that Mrs Jones likes the window table is what makes a pub feel like a pub. The Guests page keeps that memory for you, so it survives staff changing.

Quick answer. Open Guests in the left menu, search for someone and click Open. Write in the Notes for the team box and save. The note then shows on every booking they make. Guests needs the Standard plan or above.

What the list shows

Everyone who has booked, grouped by email or phone, so one person is not listed ten times. For each you see contacts, how many times they booked, visits, cancellations, no shows, the last visit and any tags. A Regular badge appears after a set number of visits, and a notes badge shows when someone has notes.

Filters

Use the buttons along the top: Everyone, Regulars, Not been in 90 days, No shows and With notes. The search box finds a name, email or phone. CSV downloads the current list.

Inside a profile

The profile shows their contact details, booking history, first visit, usual party size, deposits paid and tags, plus every past visit with its status.

Schritt für Schritt

  1. Click Guests in the left menu.
  2. Type a name, email or phone number into the search box, or use a filter button.
  3. Click Open beside the person.
  4. Type in Notes for the team, for example "Likes the window table. Allergic to nuts."
  5. Click Save notes. The notes now show on every booking they make.

FAQ

Questions

Can I email my guests an offer?

Yes, see mailing guests an offer. Only email people who agreed to hear from you.

Do I need to be careful with personal data?

Yes. Keep notes factual, and check the ICO website for the basics on UK data protection. This is not legal advice.
