How to set your booking rules

Booking rules decide who can book, when, and how bookings are accepted. Set them once and Nabsie follows them every time.

Quick answer. Under Your venue, click Booking rules. Pick Instant, Staff approve or Live check, then set how far ahead people can book, the minimum notice and the cancel cut-off. Party size limits are on the Tables page. All of this is on every plan.

Stap voor stap

  1. Open Booking rules. In the left menu, under Your venue, click Booking rules.
  2. Choose how bookings are accepted. Instant confirms the booking straight away if a table is free. It is the least work for you. Staff approve sends each booking in as a request, and your team accepts or declines it. Live check makes the customer wait a few minutes while your staff get an alert, and it falls back to a request if nobody is around.
  3. Fill in the extra settings if you chose Staff approve or Live check. For Staff approve, pick Usually reply within. It only sets what the customer is told, nothing happens automatically. For Live check, tick Enable live check, choose how long the customer waits, and what happens if nobody replies. You can switch it on while a staff member is logged in to the staff app, or between set times.
  4. Set the timing rules. Under Timing rules, set How far ahead can people book? in days, Minimum notice in minutes, and whether Time slots every 15 or 30 minutes.
  5. Set the cancel cut-off. Choose how long before the booking customers can cancel online. After that the cancel link stops working and they are asked to ring you.
  6. Decide on the waitlist. Leave Offer a waitlist when a day or time is full ticked if you want it. Cancelled and declined bookings then email the people waiting. The Waitlist page itself is on Standard and above.
  7. Set party sizes on the Tables page. Click Tables. Set Smallest party online, Largest party online and, if the kitchen needs it, Max covers per service. Pacing can limit bookings or covers per 15 minutes. Press Save changes.

Not sure which acceptance style to pick? Instant suits most pubs. Staff approve suits small places that like to see every booking first.

What happens to groups bigger than my largest party?

They are asked to ring you instead of booking online, so big groups never fill the diary without a chat.

Does staff approve send anything automatically?

No. The reply time only sets what the customer is told on the request received page. Your team still accepts or declines each booking.

Can customers cancel online?

Yes, up to the cut-off you choose. After that they have to ring you.

Can I stop last minute bookings?

Yes. Set a Minimum notice in minutes so nobody books a table for ten minutes time.
